Good Tenant Communications

How to Communicate With Tenants on Renting Your Scottsdale Home

When you are renting your Scottsdale home, you want to have a good relationship with the tenants, naturally. A big part of that relationship will be through your communication with them and how you go about it. Different circumstances will naturally call for different approaches though.

Communication Tips

Email is a fast and simple way to communicate with the clients, and today, even text messaging for some things is acceptable. However, it is important to remember that all tenants are different, which means that the type of communication you choose will often be based on that tenant. Some older renters, for example might prefer a phone call rather than an email. If you need to communicate anything that’s relatively small, email and phone calls work well.

Many times, the best type of communication is through a hard copy letter. This is always true when it comes to any legal purposes, such as a notice to vacate, a scheduled increase in the price of the rent, or even for scheduling repairs. Having a hard copy letter ensures that the tenants receive the correct information, and that they have a handy copy they can refer to. Written communication can also provide you with evidence in the event of a legal matter.

Always make sure your communication is clear and that the tenants understand what you need or any changes that might be taking place. Confirm dates and times for repairs and maintenance, for example. Again, sending a hard copy letter to the tenants for these things helps to ensure that there is no miscommunication. In some cases, depending on the nature of the letter or email, you may want to ask for a confirmation that they received it.

As a landlord, it should be easy to get a hold of you if the tenants have an emergency. They should have access to your email and your phone number. In addition, when they do send a message, it is important that you get back to them as soon as you can. They do not want to be waiting in limbo wondering if you even got the message. Most of the time, you should strive to get back to them within 24 hours.

Something you want to avoid is simply showing up at the property unannounced. You need to let the tenants know that you will be stopping by, and when you will be there. Try to give several days advanced notice unless it is an emergency. You would not want someone showing up to your home unannounced, and neither to do the tenants. Give them as much respect as you hope to get.

Getting Some Help

Most people are extremely busy though, and they simply do not have the time needed to handle questions and requests that come from tenants. You can’t ignore their issues though. Instead of trying to take on all of the work on your own, you may want to consider working with a Scottsdale property management company. The company can help make sure your tenants are happy and that they have their repair requests met quickly and efficiently.

In addition, there is always the rare chance that you have a “problem tenant”. Perhaps they are not taking care of the property, or they do not pay rent. Trying to deal with them on your own can be a nightmare. Instead, you can have the property management company in Scottsdale take care of the hard work for you. The job of the property manager is to make sure that you have time to live your own life without worrying about the tenants.
